Public Events Sales Manager
The Public Events Sales Manager is responsible for planning, coordinating, and executing a wide range of ticketed events at our Amherst and Derry properties. This includes multi-course wine dinners, holiday and themed dinners/parties, concerts, comedy shows, DIY and fitness classes taught by guest instructors, cooking and wine appreciation classes, golf events, festivals, club member appreciation events, and the annual harvest celebration.
The ideal candidate is highly organized, detail-oriented, and experienced in event management, talent booking, and ticketed public events.
Essential Responsibilities
Event Planning & Management
- Oversee all aspects of event planning from inception through execution.
- Create Banquet Event Orders (BEOs) and floor-plans for all events.
- Communicate regularly with management for guidance and approvals on events.
- Pre-reconcile events to determine ticket pricing based on expenses and overhead.
- Collaborate with Marketing to promote ticketed events, sharing event details, pricing, entertainment descriptions, promotional images, menus, and partner information.
- Coordinate with the Banquet Chef to develop custom menus for ticketed events.
- Collaborate internally to select wine pairings and custom cocktails for seated dining events.
- Create online ticket sales pages using WordPress with FooEvents plugin, including front-end testing for accuracy. Monitor ticket inventory, availability, and webpage visibility.
- Generate and distribute online ticket discount codes as needed.
- Select and contract/hire subcontractors and vendors as necessary.
- Plan event décor, centerpieces, linens, and other aesthetic elements.
- Respond to internal and external communications in a timely and organized manner.
- Reconcile completed event financials promptly.
- Manage event budgets, ensuring expenses align with profit margin goals.
- Maintain knowledge of contract writing and negotiation best practices.
- Stay informed on performing arts and entertainment venues in NH and MA.
- Proficiently use software including Tripleseat, Tripleseat Floorplans, WordPress, Hive, Canva, Toast, OpenTable, and MS Office or iWork suite.
Talent Booking Responsibilities
- Maintain awareness of competitor offerings for ticketed events.
- Select performers/instructors based on target demographics, booking rate, quality, stage/room requirements, and location.
- Negotiate booking rates and payments.
- Confirm non-compete and radius clause compliance.
- Coordinate venue space and timeline with performers/instructors.
- Schedule event dates considering room availability, radius restrictions, budget, and travel requirements.
- Draft contracts according to agreements with subcontractors.
- Collect promotional materials from performers/instructors, including photos, videos, bios, show/class descriptions, and social media links.
- Share final ticket links and social media events with performers/instructors, obtaining approval and co-host confirmation. Provide frequent updates on ticket sales and encourage promotion.
- Communicate with Finance regarding performer/instructor payments, including amounts, payee, mailing addresses, and W9 forms.
- Coordinate with Production Management for lighting and sound requirements for all performances.
- Advance event details with subcontractors, including floorplans, timelines, directions, and audio/visual needs.
- Confirm instructors provide all necessary materials for attendees and adhere to class capacity limits.
- Negotiate performers’ backline needs (included, rented, or hired).
- Book performer hotel rooms and manage rooming lists as necessary.
- Advance all performance details prior to show date, including stage plot, input list, vendor meals, timeline, directions, comp tickets, hotel details, and onstage video/backdrop requirements.
Schedule: F/T; days/hours vary as needed, ongoing 45+ hour work weeks (peak season average of 45+ hour work weeks).
Salary Range: $65k–$70k based on experience
